Way to the Plenary Room

The plenary room is located on the 3rd Floor of Building A, the same building as the main entrance. Once you have passed the entrance stairway, you must use the elevators located in the first passageway on the left, before you get to the central hall of the building. On your way to the elevators, you will see signs indicating the event (Photos 12 and 13).

 

Documents Counter

The documents desk is located on the first floor of Building A, to the left of the elevator doors. At this desk, you can obtain hard copies of the documents that will be distributed during the meeting (Photo 14). You are advised to check every day for documents, as new ones may become available during the course of the week. Likewise, the draft report will be available at the same document desk the last day of the meeting.

 

Plenary Room

As mentioned, the Plenary Room is located on the 3rd Floor. After exiting the elevators on that floor, turn left and you will see the door leading to the Plenary Room (Photo 15). There will also be a sign on the door indicating the room.

The building has wi-fi access in all its facilities. There are signs in the corridors indicating the name of the network and the corresponding password. (Photo 16)

On entering through the doorway, you are in the Plenary Room, which displays the flags of the more than 180 contracting parties. (Photo 17) 

In the Plenary Room, each contracting party has an assigned seat, which is identified by a sign bearing the name of the county.

The seats of the CPM Chairperson,  the IPPC Secretary and other Secretariat staff (Photo 19), are located at the front of the room on a podium above the level of the contracting parties, so that they are visible to everyone in the room.

Photos 20 and 21 provide a full view of the room during the session. There are also monitors which display the speakers when they have the floor.

The CPM sessions are interpreted into all FAO  languages. For this reason, the seat assigned to each country is equipped with an earphone as shown in Photo 22, which gives access to interpretation in all languages. 

Once the earphone is connected, you will need to select the channel corresponding to your language on the selector located on the table. (Photo 23)

In the space assigned to each contracting party, there is a microphone for requesting the floor (Photo 24). Once the request has been granted, you must press the red button on the microphone in order to open the microphone.

In order to claim the floor, you must place your country sign in a vertical position, and wait for the Chairperson to grant you the floor (Photo 25). At that time, you must activate the microphone and speak briefly and concisely, but slowly enough to facilitate correct interpretation into the languages of the FAO. You should begin your intervention by thanking the chairperson for giving you the opportunity to speak. After making your contribution, you must switch off the microphone and place the country sign in its normal horizontal position

Remember that during CPM meeting, all delegates can participate, whether by submitting documents or by requesting to speak; but it is the  CPM Chairperson who opens the floor for comments in the following order: contracting parties, non contracting parties and observers. In the case of observers, and depending on the time available, the Chairperson may determine the duration of the intervention.
